Discussion:
Archiving individual notebooks and sections

I have a notebook called "clients" with a separate section for each current
project.
As each project is completed, I would like to remove the particular section
from my notebook and archive it somewhere for future reference, if possible
outside of the active OneNote files. How do I accomplish that?

There is a directory on your drive that houses all the notebooks, this is
probably called "OneNote Notebooks" in your "My Documents" directory. You
can right-click on any notebook from within OneNote to see where it is
located (properties) if you can't find it.

This disk directory has subdirectories that consist of each of your notebooks.
The subdirectories of the notebooks are your section groups. These can be
further nested.

Within any directory above, the *.one files are your sections. Pages within
a section are contained within these files and cannot be manipulated at the
disk level.

You can directly manipulate any of these sections (or directories, etc.) on
the drive, like remove them and archive them somewhere else. OneNote will
automatically restructure the user interface to reflect the changes you make
to the disk structure.

I recommend that before starting, that you backup all of your notebooks
("tools" menu, "options", "backup", "backup all notebooks") for easy recovery
should you accidently delete something.

My previous response assumes OneNote 2007. OneNote 2003 was similar, but
stored files somewhat differently (you would be able to figure it out once
you got in there).

I just create a .ZIP file right in the same folder where the .ONE files
are stored. When I don't want OneNote to "see" files any more, I just put
them in the .ZIP file. Sometimes I .ZIP up entire folders. It is nice
that OneNote just automatically adjusts. You can even .ZIP up files with
OneNote still open as long as that particular section is not currently
displayed. After a couple of seconds you will see those sections just
disappear from the tab bar in OneNote.

I like to keep all my stuff in one big directory structure instead of in
separate but parallel structures. It just works out easier for me.
